How we handle your data.

What we collect
When you book an audit through this site, we collect:
- Your name, email, and phone number (so we can run the audit)
- Your fleet name and basic operational details (the substance of the audit)
- Payment information (processed by Stripe — we never see your card number)
- An audio recording and written transcript of your intake call
- Standard server logs (IP address, timestamps, browser type) when you visit the site
What we use it for
One reason: to produce your audit report. Specifically:
- Schedule and conduct your intake call
- Analyze your responses and write your report
- Email the report to you when it's done
- Follow up with you about the report or future services if you opt in
We do not use your data to train AI models, sell to data brokers, share with advertisers, or build profiles for retargeting. We don't run third-party analytics or tracking pixels.
Where it lives
Your data is stored in:
- Supabase (Postgres database, US-East region) — booking records, transcripts, reports
- Stripe — payment processing only
- Vapi + 11Labs — voice intake call audio and transcription
- Resend — transactional emails to you
- Vercel — hosting and request logs
All five vendors are reputable, US-based companies with their own privacy and security commitments.
Who we share it with
Nobody, except:
- The vendors above, strictly to operate the service
- Law enforcement if compelled by a valid court order
- Anonymous, aggregated patterns we may write about (e.g. "the average fleet we audit loses ~$15K/year on fuel reconciliation") — never with identifying details
Founding-tier customers ($499) trade case-study rights for the discount. We may reference your fleet in marketing materials, but you can request to remain anonymous in any specific case study.
How long we keep it
- Booking records and reports: kept indefinitely unless you ask us to delete
- Call recordings and transcripts: kept for 24 months, then deleted unless you ask us to keep them longer
- Server logs: rotated by Vercel on their standard schedule (~30 days)
Your rights
At any time, you can email support@vigilaudits.com and we will:
- Send you a copy of everything we have on you
- Correct any inaccuracies
- Delete your data (subject to legal retention requirements)
- Stop using your data for follow-up communication
We aim to respond to data requests within 14 days.
Cookies
We use one cookie set by Vercel to maintain your session. We don't set tracking cookies, advertising cookies, or analytics cookies.
Children
This service is for businesses. We don't knowingly collect data from anyone under 18. If we learn that we have, we'll delete it.
Changes to this policy
If we change anything material, we'll update the "last updated" date at the top and email anyone who's booked an audit in the prior 12 months.
